National Knowledge Archive (NKA)

The National Research Archive (NVA) is a national shared service for the registration and accessibility of research, and is a merger of Cristin and several local research archives. New is that Ahus now has the opportunity to self-archive.

Everyone has reading access, but you must be affiliated with an institution to register and edit publications and projects.

You must be logged into NVA and affiliated with an institution to register a publication.

We recommend selecting "Start with a link to the original version" when registering, if you have a functioning DOI for the publication. This will usually retrieve much of the information, but you still need to check that the information is correct, add anything that may be missing, and correct any errors. Remember that all contributors must be registered and affiliated with the same institution as in the original publication.

The registrar and all contributors associated with the publication have the ability to edit it.

A registration that has been started but not completed can be found on My Page under Result Registrations, only by the person who initiated the registration.

The tab "File, Licence and Links" is described in more detail under self-archiving.

User guide: Registering a project in NVA (Sikt.no)

Once a project is created, only the project leader can edit the project.

The project leader and project participants must be registered users in NVA.

To link a publication to the project, you must edit the publication and enter the project in the Project affiliation field.

How to register a funding source (for example, NFR) on a result

Use ID-porten (i.e. BankID for most) to log in to Ahus in NVA.

  • Logging in with ID-porten also allows you to choose from all the institutions you are affiliated with, if you are affiliated with more than one.
  • To switch institutions while logged in, you must log out and select another institution upon re-logging in.

If you log in with Feide, you have selected an institution at login. That is, if you log in to NVA and choose UiO via Feide, you will go directly to UiO in NVA, and you cannot select other institutions. To switch institutions, you must log out and log in with ID-porten.

All contributors to publications that may be included in the NVI reporting must be registered in NVA. Lack of registration may result in Ahus losing publication points. Publications included in NVI reporting: scientific articles, scientific review articles, monographs, and articles in anthologies.

Employees who do not have a valid Norwegian ID cannot log in to NVA or create a user account, and therefore cannot edit or register publications. In such cases, please contact us for registration/editing of publications.

Is there any difference in which institution you log in to?

In NVA, it is possible to request help in the system during the registration of results/publications by clicking on "Get help from the curator".

If you are logged in to Ahus in NVA, we will receive and respond to the request. If you are logged in to other institutions, the request will be sent there. The same applies to approvals of uploaded files, etc.

If you have started a registration logged in to Ahus that is not complete (saved as a draft), you must log in with Ahus again to complete the registration.

Important!

If you are going to use an institution's institutional rights policy (Rights Retention Strategy), you must be logged in to an institution you are affiliated with that also has an institutional rights policy when you upload full text. Ahus is working on implementing this, but currently has no institutional rights policy. For Ahus employees to utilise the rights policy, a text from the Research Council must be attached when submitting a manuscript:

Researcher Profile

You can enter and edit information about yourself on My Page, as well as link your ORCID profile to NVA (recommended).
If you wish to change your department or name (you can change the display name yourself), you must contact us: publisering@ahus.no

It is recommended to link your NVA profile to ORCID, as NVA plans to use ORCID when importing publications, resulting in faster, easier, and more accurate imports, which will reduce the need for manual registrations.

Dialogue

Here you will find requests you have sent to the curator, as well as responses to these. You can send requests in the registration form for publications/results by clicking on "Get help from the curator".

Result Registration

Here you will find publications/results you have registered, regardless of whether you are a contributor or not. Registrations will remain as drafts until you have published them in NVA.

Project Registration

Here are your registered projects.

Self-archiving occurs through the registration (or editing) of a publication in the "File, licence and links" tab:

Upload file

Here you upload the publication itself; it is the agreement you have with the publisher, or any rights policy, that determines which version of the file you are permitted to upload.

You can also upload author agreements with the publisher, etc.

Select availability

The availability for the file of the publication should be "Open file", regardless of whether the file has an embargo or not.

The availability for author agreements and similar documents should be Internal.

Specify version

The version that can be uploaded is determined by agreements with the publisher or rights policy.

Select licence

The licence is determined by agreements with the publisher or rights policy.
To see the next points, you must click on the small arrow far to the right, next to Licence.

Rights policy (RRS)

The point "If this publication is funded by an entity that requires you to follow RRS (ref. Plan S), please mark it here" should be marked when this is the case.

Embargo

If there is an embargo on the full text, this should be indicated in this field. The file will be published automatically when the embargo expires.

Once the publication is fully registered and the file added, the metadata will be published and made available in NVA. Files and licences will not be made openly available until the curator (librarian) has verified the licence and version.

Updating links

Anyone with websites and/or documents (including in EQS) that link to Cristin must replace these with links to the corresponding pages in NVA.

This applies to all types of links; projects, publications, reports, guidelines, information, EQS, etc. Everything associated with cristin.no.

Cristin, both the system and the website, will be available for searching content for a while longer, but will eventually be completely shut down. The date for this has not yet been set.
